Sharing your information

Your information may be shared internally throughout the Footasylum Group for the purposes of prospective job applications with the Company. If we think you may be a good fit for an alternative role to the one in which you originally applied, then we would like to share your application with other departments. This means we think you could be a great fit for our Footasylum family!

Footasylum will not disclose any details to a third party.

Keeping your personal information

Upon the date of application, your CV and other attached documents will be added to our Applicant Tracking System (ATS) to allow our Recruitment team to follow your journey. All applications will be kept on file for a period of 1 year for data collection purposes and in case other positions become available that we feel you may be suited to. Footasylum is growing and opportunities come up all the time; we will always look at our existing portfolio of candidates when a new role comes up!

Our Lawful Basis for Processing your Personal Data

At Recruitment Stage we have a legitimate interest in processing your application data in order to consider you for an appropriate role within the company.

You have the right to object to us holding your CV if your job application is unsuccessful on this occasion as we do like to hold on to it for a year in case other opportunities arise for you. We will then remove your CV and personal data from the pool of candidate information.

At Offer Stage we have are in the process of entering a contract with you and this would be our lawful basis for processing your personal data in order to offer you a position and generate a contract as part of the onboarding process.

Deletion of Data

Following expiry of the retention period your data will be deleted from all systems and databases and hard copies will be destroyed. This is carried out in a secure and safe environment by the appropriate personnel or approved third party. In the event however that you are successful for a position and become an employee, your information may be stored as per our Employee Privacy Notice.

Your rights

You have a lot of rights relating to your personal information and it is important that you understand what these are. These include;

  • The right to be informed how your personal information is being used
  • The right to access the personal information we hold about you (subject access request)
  • The right to object how your personal information is being used
  • The right to restrict the use of your personal information
  • The right to request that we delete inaccurate data we hold about you
  • The right to complain to the Information Commissioners Office in the event that you feel your information has been misused

This is the latest version of our Recruitment Privacy Policy, released in May 2018. This will be updated from time to time, in line with any changes within the business and to comply with Data Protection legislation like GDPR.
